PROPERTY MANAGERS DUTIES FOR PORT TRINITIE ASSOCIATION

FINANCIAL MANAGEMENT FUNCTIONS:
1. Collects and records Association monthly dues.
2. Handles all banking and related matters.
3. Pays monthly and weekly bills..
4. Maintains Quick books for all accounting matters.
5. Furnishes Accountant information needed to prepare financial statement and annual taxes.
6. Files and pays Federal and State taxes due as well as annual tax listings..
7. Prepares the annual budget and presents it to the Board for adoption..
8. Recommends reserves and assessment rates required to meet future financial obligations of the Association.

ADMINISTRATIVE FUNCTIONS:
1. Sets up annual Board meet1ngs, sends out not1ces and arranges a meeting location and selects luncheon menu.
2. Attends annual meeting and makes recommendations to Board.
3. Furnishes the Board with updates on Association matters that may need attention or action as well as reports on expenditures for the year.
4. Prepares Annual Menbership Meeting minutes from notes.
5. Performs additional duties as required by the board from time to time.
6. Conducts weekly reviews with subcontractors regarding maintenance of grounds, pools and other common property.
7. Checks grounds on a regular basis for trash, weeding and other matters to insure a neat and orderly appearance of Port Trinitie property.
8. Handles telephone calls related to Association matters.
9. Notifies Agent or Dwelling Unit Representative when maintenance fees and/or assessments are overdue.
10. Prepares association and condominium property for hurricanes by making sure outside furniture and trash cans are secure and that all windows and doors are closed and locked. Advises occupants concerning evacuation. Advises Unit House Representatives, by phone and / or email, of the condition of their unit after hurricane or any other catastrify.
11. Handles the aftermath of hurricanes by advising the President of the Board of Directors of damages and recommended actions. Takes action as directed to initiate repairs.
12. Obtains Dare County pool permits annually. Replaces pool furniture, as required.
13. Assists with enforcement of pool and other rules as required.
14. Changes tennis court combo annually to ensure usage by owners, renters, and their guests exclusively.
15. Obtains needed office supplies.
16. Maintains a lost and found list at sound-side pool office and returns lost articles claimed by owners.
17. Provides Real Estate Agents, for a fee, with a current rotation schedule, a copy of Association By-Laws and Declaration Of Unit Ownership when Condominium property is for sale.

LEGAL FUNCTIONS:
1. Serves as the Port Trintie Association "Agent for the Service of Process" as required by North Carolina law.
2. Places liens on properties, as required by the "Second Amendrnended and Restated Declaration of Unit Ownership and By- Laws.
3. Works under the direction of the President of the Port Trinitie Association Board of Directors and exercises the authority and powers granted by the Association as provided by the "Second Arnrnended and Restated Declaration of Unit Ownership" and "Second Amended and restated By-Laws" of the Port Trinitie Association.
4. Performs other duties as assigned by the President of the Port Trinitie Association Board of Directors.

GROUNDS AND COMMUNITY MAINTENANCE:
(Performed under supervision of Property Manager)
1. Grass mowing including raking, winter seeding, seasonal feeding, and fertilizing.
2. Landscaping which includes shrub and tree trimming, flower and plant bed planting, replacing dead plants as necessary, mulching. Turn sprinkling system on and off, as necessary. Set up cold frames for flowers and plants during cold periods.
3. Trash pickup around walking paths and common areas including streets, sidewalks and boardwalks. Garbage pickup including moving cans for pickup and back onto property.
4. Replace or relocate or remove signs.
5. Remove sand from oceanfront seating and all board walks.
6. Inspect walkways, driveways, and roads and report needed repairs to Property Manager.
7. Reset timers on entrance lights. Decorate entrance during Holiday season and remove same after Holiday season.
8. Remove grills from decks and remind owners, renters and guests that no grilling is allowed on or under wooden structures.
9. Replace Skipjack and Spinnaker entrance lights. Paint and replace Unit numbers as required.
10. Check tennis courts daily to assure usage by owners, renters, and guests only.
11. Check condos for frozen pipes/leaks and exterior inspection of houses for same. Handle emergencies such as frozen pipes at sound pool and tennis court water fountain.
12. Remind owners, renters and quests that deck railings are not to be used for hanging towels, laundry etc.
13. Winterize outside water sources and turn back on in spring.
14. Make repairs, replacements, and construct projects as directed by the Property Manager.

POOL MAINTENANCE PROVIDER:
(Hired by and works under the supervision of Port Trinitie Property Manager)
1. Prepares pools for opening and closing which includes covering during winter months. Turn showers on and off.
2. Cleans pools and surrounding areas daily during season including removal of leaves, broken glass and other debris. pick up trash and empty trash daily.
3. Checks decks for popped nails, board replacement and makes repairs as necessary in and around pool areas such as gates, fencing, and, latches.
4. Checks pools daily to enforce safety and security rules and insure usage is limited to owners, renters, and their guests only.
5. Checks furniture for repair or replacement.
6. Keeps depths clearly marked. Keeps pool apparatus in good working condition including winterizing pump room and replacing sand in filter. Recommends pump motor repair or replacement.
7. Conducts daily inspections and adjusts chemical levels, as necessary. picks up and stores chemical supplies.
8. Assures all safety equipment and posted signs comply with inspection requirements.
9. Removes dogs from pools, identifies owners and reminds them to keep their dogs under control at all times in the pool area.

GENERAL SECURITY REPRESENTATIVE:
(Hired by and works under the supervision of Port Trinitie Property Manager)
1. Distributes parking permits to owners, renters, and guests. Check vehicles and issue warning notices to violators.
2. Checks unoccupied condos and homes for possible break-ins.
3. Reports acts of vandalism to police.
4. Answers calls regarding noises, disturbances, trespassers or other problems and takes action as necessary. Mediates onsite disputes.
5. Reminds owners, renters, their guests and other beach users, as well as their children, to keep off dunes.
6. Checks tennis courts daily for use by trespassers.
7. Conducts periodic checks of pool after closing time.


AGENT DUTIES FOR DWELLING UNITS: (Works in coordination with and receives guidance from the "Dwelling Unit Representative".)

FINANCIAL MANAGEMENT FUNCTIONS:
I. Collects, from unit owners, and records monthly Unit Owners Shared Expense Fees.
2. Handles all banking and related matters for the Unit.
3. Pays units monthly and weekly bills.
4. Maintains Quick books for all accounting matters.
5. Furnishes Accountant information needed to prepare financial statement.
6. Files insurance claims as necessary.
7. Provides Dwelling Unit Representative with Expanded P&L statement quarterly.
8. Provides each Co-Ownership interest with general P&L statement annually.

ADMINISTRATIVE FUNCTIONS:
I. Sets up weekly rotation schedules and annual calendars.
2. Checks units on Fridays behind maids, puts in supplies and double check for keys.
3. Schedules and supervises annual shutdown of units for spring cleanings, maintenance, inventories, replacements, etc.
4. Arranges annual termite and chimney inspections.
5. Arranges quarterly pest treatments.
6. Arranges carpet/upholstery clearing as required.
7. Arranges the pumping of septic as required.
8. Provides owners with information regarding restaurants, beauty salons, baby sitters, telephone numbers, etc.
9. Assists owners with exchanges of weekly time periods.
10. Discusses the need for major improvements and purchases with Dwelling Unit Rep.
11. Arranges for plumbing, electrical and other repairs as needed.
12. Prepares for hurricanes by making sure outside furniture and trash cans a secure and that all windows and doors are locked. Advises occupants concerning evacuation. Reassures owners by phone on the condition of their units.
13. Handles the aftermath of hurricanes by contracting for and conducting for clean up and repairs as necessary.
14. Provides Real Estate Agents and potential buyers with documents and related information pertinent to Co-ownership matters.
15. Assists owners on the sale of their units by putting buyers in touch with seller.
16. Provides information to attorneys for real estate closings.
17. Prepares weekly memos for Memorial and Labor Day weekends.
18. Enters into "Service Contracts" with venders to provide 24/7 coverage on repair or replacement of major appliances.
19. Provides a person, with full authority to act on emergency repairs or replacements, when the Agent is not present. (Vacation, Emergency absences, etc.).
20. When an occupant reports an issue, makes personal contact with that occupant within 24 hours of the report and determine what action is required to resolve the issue. Contact the House Representative and/or the owner of that week of Co-Ownership interest for guidance if significant expenditure of funds are required to correct issue.

LEGAL FUNCTIONS:
1. Places liens on owners co-ownership interests as required by Port Trinitie Second Amended and Restated Declaration of Unit Ownership.

RENTAL AGENT FUNCTIONS:
1. Attends annual update courses as required to keep broker's license.
2. Prepares rental contracts. Handles phone calls, brochures, bookings, and related accounting and banking.
3. Files monthly sales tax forms and occupancy tax forms on units with rental contracts.
4. Prepares year-end rental income statements for owners.
